POS Inventory

POS Inventory shows you the real-time stock available across your warehouses (WH1 to WH4). See exact quantities per warehouse, filter by category, view total inventory value, and understand how each completed POS sale automatically reduces stock from the mapped warehouse.

stepByStep

1

Open POS Inventory

Go to POS → Inventory. The list shows all your products with their current stock levels. By default it shows stock for the warehouse mapped to your active POS store.

2

View stock across warehouses

Each product row shows stock columns for WH1, WH2, WH3, and WH4 side by side. Scroll right on mobile to see all columns. A warehouse not assigned to your shop still shows its quantity here for reference.

3

Check stock levels

Stock levels are colour-coded: green = healthy stock, amber = low stock (below reorder threshold), red = out of stock (zero or negative). Low and out-of-stock items float to the top of the list for quick action.

4

Filter by category

Use the category filter chips at the top of the Inventory list to show only one product category at a time — for example, show only "Fabrics" or only "Electronics". Tap "All" to see everything.

5

View total inventory value

At the top of the Inventory page, a summary card shows the total inventory value (sum of quantity × selling price for all products, all warehouses). This is your estimated stock value if everything were sold at current prices.

6

Update stock manually

Tap any product in the Inventory list, then tap "Adjust Stock". Choose the warehouse (WH1–WH4), enter the corrected quantity, and add a reason (e.g. "Physical count", "Damage", "Supplier receipt"). The change is logged for audit.

7

Understand how POS decrements stock

When a POS order is marked "Completed", the quantities sold are automatically subtracted from the warehouse mapped to that POS store. If your POS is mapped to WH2, selling 3 units of Product A deducts 3 from WH2's stock. Cancelling an order reverses the deduction.

proTips

Set the reorder threshold on each product so low-stock alerts appear before you actually run out.
Do a physical count at the start of each month and use "Adjust Stock" to correct any discrepancies between the app and your actual shelves.
Assign products to specific warehouses before activating POS — a product with zero stock in WH1 cannot be sold from a WH1-mapped POS store.
The total inventory value summary is useful at month-end to report your closing stock for GST or accounting purposes.
