Warehouse Mapping

Bharat Studio supports up to four warehouses (WH1, WH2, WH3, WH4) per workspace. Each POS store is mapped to one warehouse — whenever a sale is completed, stock is automatically deducted from that warehouse. Setting the correct warehouse mapping during POS activation ensures your inventory counts stay accurate.

Understand the warehouse model

Think of each warehouse as a physical stock location — your main store room (WH1), a back storeroom (WH2), a second branch (WH3), or a supplier consignment location (WH4). Each POS device or store maps to exactly one warehouse.

Choose your warehouse during POS activation

When activating POS for the first time (POS → Activate POS), the last step asks you to select a warehouse: WH1, WH2, WH3, or WH4. Choose the one that physically holds the stock you will be selling from this counter.

Change the mapped warehouse after activation

Go to POS → Settings (gear icon). Under "Stock Source", tap the warehouse dropdown and choose a different warehouse. Tap Save. All new orders from this point will deduct stock from the newly selected warehouse.

Enter opening stock per warehouse

Go to POS → Inventory, tap a product, and tap "Adjust Stock". Select the warehouse (WH1–WH4) and enter the current quantity on hand. Repeat for each warehouse where you hold stock. Do this before your first sale to ensure accurate tracking.

POS → Inventory shows a column for each warehouse (WH1, WH2, WH3, WH4) for every product. You can see at a glance how much stock is in each location and identify which warehouse is running low.

Understand how checkout decrements stock

When a POS order is marked Completed, the system deducts the sold quantities from the warehouse currently mapped to that POS store. Cancelling the order adds the quantities back to the same warehouse. The warehouse is recorded on each order for reference.

Handle multiple POS counters with different warehouses

If you have two counters — one at the front of the shop (mapped to WH1) and one at the back (mapped to WH2) — log in separately on each device and set the correct warehouse in POS → Settings for each. Orders from both counters appear in the shared Orders list.

proTips

Label your warehouses in a way you will remember — write "WH1 = Main Floor", "WH2 = Storeroom" on a sticky note near each counter until you get used to the mapping.
Always enter opening stock in the correct warehouse before you start selling — selling from a warehouse with zero stock creates negative stock immediately.
If you merge two physical locations into one, use "Adjust Stock" to transfer stock to a single warehouse before changing the POS mapping.
Review which warehouse is mapped to your active POS store each week — an accidental change can silently create inaccurate stock counts.
